Work Groups

Work Groups are an optional feature that allows your organization to control what your Users can access and view.  Work Groups limit what a User can access & view based on three group types: Channels Only, Users Only, and Users & Channels.

Note: Only Admins can view and create Work Groups

Examples of Work Group Setups

Channels Only

I want to create a work group that limits access to my outdoor channels only. I want all of my Users to be able to view all assets (images, videos, collections) uploaded by everyone else in my organization for creating instances and program blocks.

My workflow would be:

  1. Ensure my User accounts have been created

  2. Create a new work group named “Outdoor Displays Only”

  3. Select the Channels for all of my outdoor displays

  4. Select the Users whom I want to to restrict access set by this work group

    • Trey Foley, Bibi Pena, and Sue Chan

  5. Save the work group

When Trey, Bibi, and Sue log in, they will only be able see the Channels in the “Outdoor Displays Only” group. They will be able to view all assets uploaded by other users in my organization.

Users Only

I want to create a work group that limits what assets my Users can view & use. Users in a group can only view each other’s assets. Users would be able to access all of our displays.

My workflow would be:

  1. Create a new work group named “Marketing Dept”

  2. Do not select any Channels

  3. Do not select any Users from User Restrictions

  4. Save the work group

  5. Go to the Users tab

  6. Edit each User that I want to add to “Marketing Dept”
    Note: You may add the User to only one Work Group in this release.

    • In the Work Groups select list for each User, Select “Marketing Dept”

      • Oliver Robinson, Helena Ponce, Emily Ali, and Tommy Stark

    • Save the User Account(s)

When Oliver, Helena, Emily, and Tommy log in, they will be able to access all Channels. They will only be able to view assets uploaded by each other.

Users & Channels

I want to create a work group that limits what Channels and assets Users can access. Users may only access the Channel “Booth 1” and may only view assets uploaded by other users in the group.

My workflow would be:

  1. Create a new work group named “Vendor Booth 1”

  2. Select the Channel “Booth 1”

  3. Select the Users whom I want to to restrict access set by “Vendor Booth 1”

    • Julie Smith and Marnie Barry

  4. Save the work group

  5. Go to the Users tab

  6. Edit each User that I want to add to “Vendor Booth 1”

    • In the Work Groups select list for each User (Julie Smith and Marnie Barry), Select “Vendor Booth 1”

    • Save the User Account(s)

When Julie and Marnie log in, they will have access to the ‘Booth 1’ channel and can only view each other’s assets.

1. Click on the Work Groups button from the workflow navigation

2A. Admins can create new Work Groups for their organization

2B. Admins can view details and edit existing Work Groups

a. Click on the Work Group Details button to view information on a work group

b. The work group name

c. List of all channels accessible to this work group

d. Date and time this work group was created

e. Click on the Edit Work Group button to edit this work group

3C. Channel Restrictions

Total count of all channels accessible this work group

List of all channels accessible to this work group

3D. User Restrictions

Total count of users who are restricted by this work group’s access

3E. Users Assigned

Total count of users who are assigned to this work group from the User Account set up

3F. Close the details dialog

Select the Channels that are accessible to this group

4C. User Restrictions

Allows you to restrict the work group to only these Users

4D. Save your work or Cancel to close without saving
